The Sales Support Coordinator supports both inside and field-based sales teams, focusing on both our UK and export markets. This role handles administrative tasks, manages customer enquiries, and assists in the sales process, including the creation and negotiation of quotes for new and renewal maintenance services. The coordinator ensures smooth communication between internal teams, customers, and external stakeholders, maintaining accurate records to ensure efficient and timely sales operations.
Responsibilities:
• Quote Management: Raise and process quotes for preventative maintenance contracts, including new contracts and renewals, ensuring timely submission and assisting in the negotiation of pricing and terms.
• Sales Support: Provide administrative support, including managing and vetting customer opportunities, preparing reports, and handling customer inquiries.
• Export Compliance: Manage UK and export sales inquiries, ensuring adherence to international trade regulations. Including coordinate shipping, containers, and logistics for domestic and international orders, including issuing invoices and providing shipping quotes.
• Customer Communication: Serve as a key point of contact for customers, ensuring prompt and accurate responses to inquiries.
• Cross-Department Coordination: Liaise between sales, logistics, and other internal teams to ensure smooth operations and customer satisfaction.
• Order Tracking: Track and manage the progress of orders and shipments, ensuring smooth processing.
• Aftersales Support: Handle customer aftersales concerns, shipping issues, and warranty replacements.
• Payment Processing: Manage customer payments, issue statements, and follow up on overdue payments.
• Progress Live Opportunities: Review and actively manage a CRM database of live opportunities, ensuring that leads are nurtured and converted. Liaising with the relevant account managers for follow-up as and when required.
• Sales Meetings: Attend export and sales meetings to track order progress and updates.
• Research & Compliance: Conduct research on customs regulations, origin/tariff requirements, and ensure compliance with export procedures.
• Prospecting Calls: Conduct outbound calls to potential customers within the NHS, private healthcare, and custodial sectors. Qualify new business opportunities and schedule appointments for account managers to discuss tailored solutions
• Co-ordination: Support the Internal Sales Manager and Head of Sales with administrative tasks, presentations, data analysis and reports.
• Administration: Maintain and update CRM databases, ensuring accuracy in project and customer information.
Skills/Experiences:
• Proven experience in sales administration, sales support, inside sales or similar roles.
• Strong knowledge of shipping logistics, Incoterms, and international trade documentation.
• Excellent written and verbal communication skills.
• High attention to detail, particularly in managing orders and documentation.
• Ability to multitask and prioritize in a fast-paced environment.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook) and CRM systems.
• Customer-focused with a proactive problem-solving approach.
